STRUCTURE’s Document Management solution allows you to attach all types of documents to the many file locations housed throughout the program.
You can attach a .pdf, an .xls, a .doc, a jpeg, a .bmp, essentially any document type can be added. The documents can be attached to an Employee, a Customer, a Vendor, a Subcontract, a Job, a Material record, a Service Location and even to a Piece of Equipment tied to a service location.
Each document can be categorized and classified for easier retrieval. Through the various security levels available in STRUCTURE, you can even restrict who can and cannot access the various documents.
STRUCTURE even allows for a batch of documents to be scanned in such as accounts payable invoices. These batches can be separated into individual documents (single or multi pages), and can be attached to the AP transaction while simultaneously entering the payable record into STRUCTURE. The image then gets associated with both the accounts payable invoice record in AP but also, if being job costed, the actual cost record in Job Cost, becoming an invaluable tool for your Project Management team.
Similarly, A/P invoices can be attached when receiving in against a Purchase Order. Accounts Receivable checks can also be scanned in as a batch and applied to individual cash receipt records for future retrieval.
